High Desert Doppler (“High Desert Doppler,” “we,” “us,” or “our”) provides mobile and in-clinic diagnostic ultrasound, Doppler, vascular, and X-ray imaging services throughout Albuquerque, Santa Fe, Rio Rancho, Los Lunas, Belen, Las Cruces, and the surrounding New Mexico area. This Privacy Policy explains how we collect, use, share, and protect information when you visit our website (highdesertdoppler.com), call our office, communicate with our automated phone assistant, text us, submit a form, use our online bill pay, or otherwise interact with us (collectively, the “Services”).

 

This Privacy Policy governs our website, marketing, scheduling, billing, and general business communications. It does not replace our HIPAA Notice of Privacy Practices, which separately governs how we use and disclose your protected health information (PHI) as a health care provider. If you are a patient, our HIPAA Notice of Privacy Practices is available at our office or by request, and describes your rights regarding your medical records, imaging results, and clinical information in greater detail than this Policy.

 

By using our Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use our Services.

 

 

 

1. Information We Collect

 

  1. Contact and Identity Information

Name, phone number, email address, and mailing address you provide via our website, phone calls, text messages, online forms, or in person.

 

  1. Scheduling and Appointment Information

Date of birth, type of exam or scan requested, referring physician or facility, preferred appointment times, and insurance information provided when you request or book an appointment.

 

  1. Call and Communication Records

When you call our office, your call may be answered or assisted by an automated voice assistant (“Jess”). Calls may be recorded or transcribed for scheduling, quality assurance, training, and record-keeping purposes. If you contact us by text message (SMS), we collect the content of those messages and your phone number.

 

  1. Health-Related Information

Limited health-related information you provide to schedule the correct type of exam (for example, the type of scan ordered, referring facility, or reason for the visit). Diagnostic results and clinical records are maintained under our HIPAA Notice of Privacy Practices, not this Policy.

 

  1. Billing and Payment Information

If you use our online bill pay through PayTrace, we (or PayTrace) may collect billing information such as your name, invoice number, and payment card details. Payment card information is processed by PayTrace, our third-party payment processor, and is not stored by High Desert Doppler directly.

 

  1. Website and Technical Information

Standard technical data such as IP address, browser type, device type, and pages visited, typically collected automatically through cookies or similar technologies when you use our website.

 

 

 

2. How We Use Your Information

 

We use the information we collect to:

 

  • Schedule, confirm, reschedule, or cancel appointments
  • Route urgent requests to appropriate staff
  • Verify insurance and referring facility information
  • Send appointment confirmations and reminders (by email, text, or phone)
  • Process payments and respond to billing inquiries
  • Respond to inquiries and callback requests
  • Improve our phone systems, scheduling workflows, and customer service (including training and refining our automated voice assistant)
  • Maintain business records and comply with legal and regulatory obligations
  • Communicate with referring physicians and facilities as needed to coordinate your care

 

We do not sell your personal information.

 

 

 

3. Automated Voice Assistant Disclosure

 

High Desert Doppler uses an automated voice assistant, “Jess,” to help answer calls, collect scheduling information, and book certain appointments (such as ultrasound and Doppler scans). Some calls may be handled partly or entirely by this automated system rather than a live staff member. Certain requests — including echocardiograms, X-rays, mobile/in-home visits, and urgent matters — are routed to a staff member for callback.

 

By calling our office or interacting with our automated assistant, you acknowledge that:

 

  • Your call may be answered, in whole or in part, by an automated system
  • Your call may be recorded and/or transcribed
  • Information you provide (name, date of birth, exam type, insurance, referring facility) will be stored in our scheduling and customer relationship management (CRM) system

 

If you prefer to speak with a live staff member at any point, you may request this during the call.

 

 

 

4. Text Messaging (SMS) Program

 

Program Description: High Desert Doppler operates an SMS messaging program used to send appointment confirmations, appointment reminders, scheduling follow-ups, and responses to inquiries you initiate by phone, text, or our website (“the Program”).

 

How You Opt In: You may be enrolled in the Program by providing your mobile number during a phone call (including calls handled by our automated assistant, Jess), by texting our number, or by submitting your mobile number through a website or booking form and affirmatively agreeing to receive SMS messages. We do not enroll numbers in the Program without your affirmative consent, and consent to receive SMS messages is never a condition of receiving diagnostic imaging services.

 

Message Frequency: Message frequency varies based on your scheduling activity (for example, confirmation and reminder messages tied to an upcoming appointment). Message and data rates may apply.

 

Opt-Out: You can cancel the SMS Program at any time by texting “STOP.” After you send “STOP,” we will confirm your unsubscribe status via SMS, and you will receive no further messages from us unless you opt in again.

 

Rejoin: If you want to rejoin the Program, text “START” to the number that previously messaged you, or contact our office at (505) 350-3397, and we will resume sending messages.

Carrier Disclaimer: Carriers, including wireless carriers, are not liable for delayed or undelivered messages.

 

No Sharing of Mobile Opt-In Data: No mobile information collected through the Program will be shared with third parties or affiliates for marketing or promotional purposes. Information may be shared with subcontractors who provide support services on our behalf (such as our CRM platform, GoHighLevel, and its underlying messaging carriers/aggregators), but all other categories described in Section 5 of this Policy exclude text messaging originator opt-in data and consent — this information will not be shared with any third parties, excluding aggregators and providers of the Text Message service.

 

For questions about your text or data plan, contact your wireless carrier. This SMS Program is also governed by our Terms and Conditions, which are incorporated here by reference.

 

 

 

5. How We Share Information

 

We do not sell your personal information. We may share information with:

 

  • Referring physicians and facilities, to coordinate scheduling and care
  • Service providers, such as our CRM/scheduling platform (GoHighLevel), payment processor (PayTrace), phone and text messaging providers, and email service providers, who process information on our behalf
  • Insurance providers, to verify coverage and process claims where applicable
  • Legal or regulatory authorities, where required by law, subpoena, or court order
  • Successors, in the event of a merger, acquisition, or sale of business assets

 

All of the above categories exclude text messaging originator opt-in data and consent. No mobile phone number or SMS opt-in consent collected through our texting program will be shared with any third party or affiliate for marketing or promotional purposes. That information is shared only with subcontractors who provide support services on our behalf (such as our CRM platform and its underlying messaging carriers/aggregators), and with no one else.

 

Any use or disclosure of protected health information (PHI) is governed separately by our HIPAA Notice of Privacy Practices and applicable law.

 

 

 

6. Cookies and Website Technology

 

Our website may use cookies or similar technologies to support basic functionality, remember preferences, and understand general site usage. We do not use cookies to sell your personal information. You can control or disable cookies through your browser settings; disabling cookies may affect some website functionality. This Policy does not govern the privacy practices of third-party sites we may link to, and we encourage you to review the privacy policies of any third-party site before providing information to it.

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect, including access controls on our CRM and phone systems. Electronic communications — including email, text messages, and phone calls — may not be fully secure, and by using our Services you acknowledge and accept the inherent risk that electronic communications could be intercepted or accessed by unauthorized parties. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we become aware that your information has been disclosed in a manner inconsistent with this Policy, we will take reasonable steps to notify you as required by law.

 

 

 

8. Data Retention

 

We retain scheduling, contact, billing, and communication records for as long as necessary to fulfill the purposes described in this Policy, maintain business records, and comply with legal, regulatory, or accounting requirements. Clinical and diagnostic records are retained according to applicable medical recordkeeping laws and our HIPAA policies. Requests for copies of medical records or imaging results should be directed to our office and will be handled under our HIPAA Notice of Privacy Practices; a reasonable, cost-based fee may apply to certain record requests as permitted under New Mexico law.

 

 

 

9. Your Choices

 

  • Communication preferences: You may opt out of text messages (reply “STOP”) or ask to be removed from marketing communications at any time.
  • Access and correction: You may contact us to request access to, or correction of, the contact and scheduling information we hold about you.
  • Callback requests: You may always request a callback from live staff instead of interacting with our automated assistant.
  • Cookies: You may adjust your browser settings to limit or block cookies.

 

 

 

10. Children’s Privacy

 

Our website and scheduling systems are intended for use by adults age 18 or older, scheduling appointments for themselves or on behalf of a family member or patient. We do not knowingly collect personal information directly from children through our website, in accordance with the Children’s Online Privacy Protection Act (COPPA). If you are the parent or legal guardian of a minor, you may use our Services on their behalf.
